Stop doing the same work forty times a week
Quotes, bookings, follow-ups, the same six questions answered by hand every day. We build small automations and AI assistants that take that work off your plate, one workflow at a time, using the tools you already pay for. If your business does not have enough volume to justify it, we will say so.
The work is not hard. There is just too much of it
Most small businesses lose hours every week to work that nobody would describe as skilled. A form comes in and someone copies it into a spreadsheet. A customer asks the same question the last forty customers asked. An enquiry sits for two days because the person who handles enquiries was on a job. None of it is difficult. It is just constant, and it is exactly the kind of work software is good at.
- Details typed once by the customer and again by you into a CRM, a spreadsheet and an invoice
- Enquiries answered a day late, after the customer has already called someone else
- The same questions about hours, pricing, service area and availability answered by hand, every day
- Appointment reminders that depend on someone remembering to send them
- Quotes and documents rebuilt from scratch each time instead of generated from what you already know
- Five tools that each hold part of the picture and none that talk to each other
What we actually build
Each of these is a single workflow with a clear start and finish. We build one, check it is saving you time, and only then talk about the next.
Website intake and quote assistants
An assistant on your site that answers questions from your own approved information — services, service area, hours, what affects price — and collects the details you need for a quote. It hands off to you the moment a question is outside what it knows.
Booking and scheduling assistants
Customers pick a time from your real availability, get a confirmation, and get reminded before the appointment. Cancellations and reschedules are handled without a phone call.
Follow-up and lead routing
A new enquiry is acknowledged in minutes, routed to the right person, and followed up on a schedule if nobody replies. The lead that came in at 9pm on Friday is not forgotten by Monday.
Back-office automations
Forms that land in your CRM, spreadsheet or inbox without re-typing. Quotes, contracts and invoices generated from a template with the details filled in. Reminders that fire on a date, not on memory.
AI-assisted content workflows
Drafts for job write-ups, service descriptions, review responses and routine emails, produced from your own notes and facts, then reviewed by a person before anything goes out. AI writes the first draft; it does not publish.
Connecting the tools you already have
Google Workspace, QuickBooks, Stripe, your booking tool and your CRM, passing information between each other so a payment, a booking or a new contact shows up everywhere it should without anyone copying it.
Who this is for
Trades and home services
Plumbers, electricians, HVAC, landscaping, roofing, cleaning. Quote requests come in while you are on a job, and the one who replies first usually gets the work. Intake, routing and follow-up are where the hours go.
Professional practices
Law, accounting, dental, medical and similar. Intake questions, document generation, appointment reminders and client follow-up are repetitive, time-sensitive and often handled by someone who has more important things to do.
Local retail and hospitality
Restaurants, shops, salons and studios answering the same questions about hours, availability, parking and reservations dozens of times a day, usually on the phone, usually while serving someone else.
Not for you if the volume is not there
A business with five enquiries a month does not need a chatbot. It needs a clear website and a phone that gets answered. If that is where you are, the free assessment will say so and point you at what would actually help.
How it works
One workflow at a time. Building everything at once is how automation projects turn into a second job for the owner.
Assessment
We look at where your time actually goes for a week: what comes in, who touches it, how many times it gets re-typed, what gets dropped. This is free and you get the findings whether or not you go further.
Pick one workflow
The one with the most repetition and the clearest before-and-after. Usually intake, follow-up or booking. We agree what it should do, what it should never do, and what a good result looks like.
Build
Built on your own accounts using tools you already pay for where possible. If an AI assistant is part of it, it is limited to your approved information and told exactly when to hand off to a person.
Measure
Hours saved, response times, enquiries that got a reply, appointments that showed up. If the numbers do not move, we fix it or stop, and you are not charged for the next one.
Expand
Once the first workflow is doing its job, the next one is obvious. Each addition is scoped and priced on its own, and you can stop after any of them.
What it costs
Each workflow is scoped and priced before we build it, so you know the number before any work starts. There is no retainer to sign and no bundle to buy.
- The first assessment is free, including the recommendation not to automate anything yet
- Every workflow is scoped and quoted individually, and agreed in writing before work starts
- No retainer or minimum term — add the next workflow when the last one has earned it
- You own the accounts, the data and the code; nothing is locked to us
- AI usage costs (API fees) run on your own accounts and are passed through at cost, with no markup
Questions about AI and automations
- Will an AI assistant say something wrong to my customers?
- It can. Any AI assistant can produce a confident answer that is not right, and anyone who tells you otherwise is selling something. What we do about it: the assistant is limited to your approved information — your services, prices, hours, policies — and told to say it does not know rather than guess. Anything outside that, or anything that sounds like a commitment, gets handed to a person. You review the conversations, and the approved information is yours to change at any time.
- Do I actually need AI for this, or just an automation?
- Often just an automation. A form landing in your CRM, a reminder firing three days before an appointment, a payment creating an invoice — none of that needs AI, and adding it would only make it slower and less predictable. AI earns its place where the input is messy: a customer describing a problem in their own words, a question phrased forty different ways. We use it there and nowhere else.
- What tools do you work with?
- Whatever you already use, where possible. Google Workspace, QuickBooks, Stripe, Calendly and similar booking tools, most common CRMs, and plain spreadsheets and email. If you have no system at all, we will recommend a simple one rather than build you something custom that you then depend on us to maintain.
- Who owns it when it is done?
- You do. Everything is built on accounts in your name, with your data in your systems, and any code is handed over. If you stop working with us, it keeps running and someone else can pick it up. We think that is the only honest way to sell automation to a small business.
- What happens when something breaks?
- Things connected to other companies' tools do occasionally break, usually because one of those tools changed something. Every workflow we build alerts you when it fails rather than failing quietly, and the fix is normally small. You can have us on call for that or handle it yourself; either way you are not tied to a monthly fee to keep it alive.
- How long does the first workflow take?
- Most single workflows take one to three weeks from agreeing the scope to running live, depending on how many tools are involved and how clean your existing information is. The assessment beforehand takes a week, mostly waiting to see a normal week's worth of enquiries come through.
Still deciding? Book a free 20-minute call and we will tell you honestly whether this is the right spend for where you are.
